Portfolio Online

Portfolio Online is a web-based e-portfolio tool that helps you log your learning, professional activities, development and achievements.

All resident doctors must use Portfolio Online to record their training.

Update on new ePortfolio

We're moving to a new ePortfolio platform with the aim that all active portfolios will be transitioned by the end of 2027. Please see below for our December 2025 update on proposed timelines and link to our FAQs page.

4 December 2025 – Important update on transition to new platform

We have an important update on the transition from the current Portfolio Online (owned by Bettison) to the new 14Fish platform (owned by Optum, formerly EMIS).

Following the first phase of user acceptance testing, our ePortfolio Steering Board met and agreed to delay the launch until August 2026. We also discussed this decision with the Psychiatric Resident Doctors’ Committee who agreed.

Taking this additional time will allow us to ensure the system is fully tested, stable and ready for use.

We will develop the training resources and communications required for Resident Doctors, supervisors and educators to transition smoothly.

We will share detailed transition plans in due course, but we have agreed the following key principles:

Transition principles

1. We will transition Resident Doctors at the end of their training year wherever possible

To avoid movement mid-training placement, Resident Doctors will transition after their ARCP and a successful outcome, wherever possible. Out of sync RDs including those on Out of Programme (OOP) and Less than Full Time (LTFT) will be supported on an individual basis to transition at the most appropriate time, which may have to be mid-training year – please see point 2 below.

The new launch date means most Resident Doctors will transition between August 2026 and August 2027, depending on their changeover and ARCP date.

2. Out-of-sync Resident Doctors will be managed individually

Some Resident Doctors do not follow February or August rotation cycles (e.g., those on OOP, parental leave, career breaks or LTFT).
We will transition these doctors case-by-case, ideally at the end of their training year. However, this may not always be possible.

Most of these transitions will occur between August 2026 and August 2027. Where this is not possible, the College Team will work directly with individuals and Schools to ensure the process is managed smoothly.

Data Migration

Access to previous training data is essential. We are working with system experts to extract records required for advancing your training from Portfolio Online. We are prioritising:

  • ARCP outcomes
  • WPBAs
  • reflections
  • key evidence and supervisor reports

We recommend that Resident Doctors review their Portfolio Online data and consider downloading anything they particularly wish to retain for personal records.

Please ensure all documentation is assigned to the correct training folder.

Further communications on data migration will follow.

Resident Doctors in their final year of training (core or higher including duals)

We do not intend to transition Resident Doctors who are moving into their final year of training in August 2026 unless necessary*.

Final year of training includes:

  • CT3
  • ST6 (single CCT pathway)
  • ST7 or ST8 (dual CCT pathways)

Examples

A Resident Doctor entering ST6 in August 2026 on a dual pathway (with one or two years remaining) will be transitioned in August 2026.

A Resident Doctor in CT3 or ST6/7/8 finishing training by August 2027 will not be transitioned.

*For Resident Doctors due to complete training after August 2027, such as those who are ‘out of sync’ (LTFT, OOP, on a career or parental leave break), we may need to revisit this approach.
